Why Is the Cheapest Transport Quote Often the Most Expensive Choice?

Imagine you need to arrange freight transportation. You send inquiries to a dozen logistics companies and, shortly afterward, receive twenty quotes. Nineteen of them fall within the €950–€1,050 range, while the twentieth comes in at just €690. Which one would you choose?
For many business owners, the answer seems obvious. If every company promises to provide the same service, why pay more?
The problem is that in road freight transport, the lowest price often means the highest risk—and, ultimately, the highest overall cost.
A Simple Rule: If a Freight Quote Is 25% Lower Than the Rest, Be Cautious
It is perfectly normal for carriers to have different operating costs, varying vehicle availability, or advantageous return routes from certain regions. Small price differences are therefore completely expected. However, if one quote is more than 25% lower than all the others, don’t treat it as a bargain. Treat it as a warning sign.
Ask yourself one simple question: Why is this company able to perform the same transport so much cheaper than everyone else? Sometimes there is a perfectly reasonable explanation. The carrier may already have an empty truck returning from that area or urgently need a load for a specific route.
More often, however, an unusually low price hides compromises that only become apparent once the shipment is underway. Usually, the problem isn’t the price itself—it’s what’s missing from it. Common surprises include:
- Additional fuel surcharges
- Unclear fees charged before loading
- Costs that were supposed to be “agreed later”
- Services the customer assumed were included but actually weren’t
When requesting a quote, ask one important question: Is this an all-inclusive (“all-in”) price?
A professional logistics company should clearly state whether the quotation includes all standard transportation costs. This prevents misunderstandings and makes comparing offers much easier.
The Most Expensive Cost Isn’t the Invoice.
Many companies choose a freight provider based solely on the lowest price. In reality, the biggest costs appear only when something goes wrong. A delayed delivery can result in:
- Production downtime
- Delayed customer orders
- Contractual penalties
- Dissatisfied customers
- Employees spending hours solving logistics issues
If one of your employees spends several hours trying to reach the carrier, locating the truck, or arranging emergency transportation, your company is already paying for the “cheap” freight—even though those costs never appear on the transport invoice.
Why Can a Very Cheap Carrier Deliver Later?
Transportation follows the same economic principles as every other industry. If a shipment is sold far below market price, the carrier will often look for ways to recover their margin. That may involve:
- Loading additional freight along the route
- Making extra stops
- Reloading cargo through intermediate warehouses
- Extending the overall transit time
Every additional handling operation increases the risk of cargo damage and delivery delays. Saving a few hundred euros at the beginning can easily lead to much larger losses later.
You’re not just buying transport – a good logistics company doesn’t simply sell transportation. It also provides: experience, clear communication, reliability, safety, fast problem-solving when unexpected situations arise.
These are the qualities that distinguish a professional logistics partner from a company competing only on price. If the delivery address changes, additional requirements arise, or urgent action becomes necessary, the experience of your logistics provider often proves far more valuable than a small saving on the freight rate.
How to Choose the Right Transport Company?
Before accepting a quotation, check a few basic points:
1 – Compare at least three offers.
2 – Make sure the quoted price includes all costs.
3 – Read customer reviews.
4 – Verify the carrier’s experience.
5 – Provide accurate information about your cargo.
6 – Clearly specify the required delivery deadline.
7 – Inform the carrier about the cargo’s value and any special handling requirements.
The more information the carrier receives from the beginning, the lower the risk of misunderstandings, delays, and unexpected costs.
